Why DTP is needed

Why translated documents need layout work

Text often becomes longer or shorter after translation. Different languages also use different characters, punctuation and writing conventions. This can affect the original layout.

  • Text expansion

Translated text may take more space than the source and need layout adjustments.

  • Line breaks

Headings, tables and body text may need new line breaks to remain easy to read.

  • Fonts

The original font may not support all characters required for the target language.

  • Tables & forms

Cells, fields and labels may need resizing after translation.

  • Images & callouts

Text inside graphics, diagrams and callout boxes may also need to be replaced or repositioned.

  • Right-to-left languages

Documents for right-to-left languages may require changes to text direction and page layout.

What we do

DTP work after translation

  • Layout adjustment

We adjust the page layout so translated text fits clearly and consistently.

  • Font checks

Fonts are checked for the characters required by the target language.

  • Tables & text boxes

Tables, labels and text boxes are resized or adjusted where needed.

  • Images & graphics

Translated text can be placed back into editable graphics when the required source files are available.

  • Headers & footers

Page numbers, headers, footers and repeated document elements are checked across the file.

  • Final visual review

The formatted document is reviewed for visible layout and language-placement issues before delivery.

File formats

Common working formats

  • Microsoft Word

Reports, manuals, forms and other text-based documents.

  • PowerPoint

Presentations, training materials and sales content.

  • Excel

Structured content, tables and multilingual data files.

  • Adobe InDesign

Brochures, catalogues, reports and other designed publications when editable source files are provided.

  • PDF reference files

PDFs can be used as layout references where the editable source file is supplied separately.

  • Other editable formats

Additional formats can be reviewed before the project starts.

Multilingual projects

One layout across several languages

When the same document is translated into several languages, we can apply the same formatting rules across all versions while adjusting each file for the needs of the target language.

  • Shared layout

The original design and structure are kept as consistent as possible across language versions.

  • Language-specific changes

Spacing, text direction, fonts and line breaks are adjusted where required.

  • File naming

Final files can follow an agreed naming structure for easier project handling.

  • Coordinated delivery

Multilingual files can be prepared and delivered together according to the project schedule.

Quality checks

What we check before delivery

  • Missing text

Whether translated text has been left out or hidden by the layout.

  • Overflow

Whether text runs outside boxes, tables or page margins.

  • Fonts & characters

Whether all target-language characters display correctly.

  • Alignment

Whether paragraphs, tables and other elements remain properly aligned.

  • Page structure

Whether headers, footers, numbering and page elements are consistent.

  • Visual consistency

Whether the translated version follows the agreed source layout and formatting.
