If you contact us by email or through another business channel, we may process your contact details and the content of the correspondence.
Technical information
Our hosting and security systems may process technical information needed to deliver and protect the website, such as IP address, request information, timestamps and security logs.
Optional analytics and similar technologies
If optional analytics or similar technologies are enabled on this website, they will be used only according to your cookie choices where consent is required.
3. Please do not send unnecessary personal data
When requesting a quote, please provide only the information reasonably needed for us to understand the project.
Do not include sensitive personal data, confidential patient information or other personal information in the project-details field unless it is genuinely necessary and an appropriate method of transfer has been agreed with VIAX.
4. Why we use personal data
We may use personal data to:
- respond to enquiries
- review a proposed translation or localization project
- prepare and discuss a quotation
- communicate about possible or existing services
- administer business relationships
- operate and secure the website
- comply with legal and accounting obligations
- maintain records where reasonably necessary
- use optional analytics or similar technologies where the required consent has been provided
5. Legal bases for processing
Depending on the circumstances, we rely on one or more of the following legal bases under the GDPR.
Pre-contractual steps
Where you ask us to take steps before entering into a contract, for example by requesting a quotation, processing may be necessary to respond to that request.
Legitimate interests
We may process business contact and correspondence data where this is necessary for our legitimate interests in responding to business enquiries, managing professional relationships, operating the website and protecting our systems, provided those interests are not overridden by the rights and interests of the individual concerned.
Legal obligations
We process information where necessary to comply with applicable legal, tax, accounting or other obligations.
Consent
Where consent is required for optional cookies, analytics or similar technologies, we rely on the consent you provide through the website’s cookie controls. You can change or withdraw that consent at any time through Cookie Settings.
6. Who may receive your data
We may use service providers that support the operation of our website, business email and enquiry handling. These may include:
- website hosting and infrastructure providers
- business email providers
- form-processing and spam-protection providers
- IT and security providers
- analytics providers, only where actually enabled and permitted by your choices
- professional advisers where necessary
- public authorities where disclosure is legally required
Service providers acting on our behalf receive personal data only where needed for their role and are subject to appropriate contractual and data-protection requirements.
7. Website enquiry processing
The Get a Quote form may use a specialist form-processing provider to transmit enquiries and help filter automated spam.
If Formspree is connected as the production form processor, update this notice before launch to identify Formspree accurately as a processor and ensure that the wording reflects the production configuration.
8. International data transfers
Some service providers may process information outside the European Economic Area.
Where personal data is transferred to a country that does not benefit from an applicable adequacy decision, we use or require appropriate safeguards where necessary, such as the European Commission’s Standard Contractual Clauses, together with any additional measures required in the circumstances.
9. How long we keep information
We keep personal data only for as long as reasonably necessary for the purpose for which it was collected and for any applicable legal requirements.
Enquiries that do not lead to a business engagement are normally retained for no longer than 24 months after the last meaningful contact, unless there is a specific reason to keep them for longer.
If an enquiry develops into a client relationship, relevant correspondence, contractual information and accounting records may be retained for the periods required by applicable law or reasonably necessary for the business relationship.
Technical and security records are retained for periods appropriate to their security purpose.
Where consent is used, records of the consent may be retained for as long as necessary to demonstrate the choice made.
10. Your data-protection rights
Subject to the conditions and limitations in applicable law, you may have the right to:
- request access to your personal data
- request correction of inaccurate data
- request deletion of personal data
- request restriction of processing
- object to processing based on legitimate interests
- receive certain personal data in a portable format where applicable

Optional analytics, visitor-measurement or marketing technologies must not be activated before the required consent has been obtained.
13. Automated decision-making
We do not use the personal data submitted through the website enquiry form to make decisions about you based solely on automated processing that produce legal or similarly significant effects.
