Before work begins, we agree the process for your questionnaire, including any instructions from its owner or your research team. Questions about unclear wording are collected for clarification, and approved changes are tracked across the language versions.

Helping the approved translations work on screen
Once the language versions are ready, we can help prepare and check them in your chosen survey platform. We first review the platform, the source questionnaire and the support you need, then confirm the technical scope.
Depending on the setup, this may include:
- Entering or importing approved translations.
- Checking questions, answer options, instructions and help text against the approved files.
- Reviewing text display on desktop and mobile screens.
- Checking language selection and navigation.
- Testing which questions appear after particular answers, using rules supplied by your research team.
- Completing test responses and checking that the agreed answers are recorded and exported correctly.
Findings are recorded for correction and review before your team approves the survey for launch.
If your survey is already being built by an internal team or another provider, we can work alongside them on the language versions and linguistic checks.

Preserving what patients mean in their own words
By the time participants submit their answers, your team has invested in designing the study, preparing the questionnaire and reaching the people whose experiences you want to understand. Translating their responses requires the same attention to meaning.
Patients and caregivers may describe symptoms through everyday expressions, comparisons or words that have a particular meaning in their language. They may hesitate, qualify a statement or distinguish between something they cannot do and something they can do with difficulty. These details can affect how a response is interpreted.
A translation that smooths away uncertainty, changes the strength of a statement or replaces a personal description with a more definite medical term can change the evidence available to your researchers.
We translate free-text responses into English or your team’s other working language, paying particular attention to:
- How participants describe the severity, frequency and impact of their experiences.
- Expressions of uncertainty, emphasis and emotion.
- Everyday wording and culturally specific expressions.
- Distinctions between the participant’s own description and a clinical interpretation.
Where the source is ambiguous, we preserve that uncertainty and flag it for review. We avoid adding explanations or conclusions that the participant did not express.
Each translation remains linked to its original response and question identifier. The source text can be delivered alongside the translation, with notes where a wording issue needs your researchers’ attention.
This gives your team a traceable translation for qualitative review and analysis, with the participant’s meaning kept at the centre of the work.
Where interviews form part of the project, transcription and translation can also be included in the agreed scope.

One VIAX project contact coordinates the agreed work and keeps track of files, queries and approvals. Your team receives the language deliverables and any checking records included in the scope.
Arrange support for incoming responses
If you need translation of written answers, we agree the file format, delivery schedule and how each translation will remain linked to its source response.

Building on our linguistic validation work
Multilingual Survey Support is a recent addition to VIAX’s services, extending our established work in translation and linguistic validation.
The linguistic work is led by Vladka Sokolova, who has managed linguistic validation projects since 2010, with experience covering more than 40 completed clinical measures across different therapeutic areas.
For each survey, we agree how VIAX will work with your researchers and technical team, including any additional specialist input the project requires.

- Can you work with our survey platform?
- We review the platform selected by your organisation and confirm which implementation and checking tasks we can support. We can also work with the person or team responsible for building your survey, providing the approved language files and checking the translated content on screen.
- Can you help if our questionnaire has already been translated?
- Yes. We can review the available language files and discuss support with implementation or checking. Any additional linguistic review is agreed according to the material and your requirements.
- Does every survey need linguistic validation?
- The language process depends on the questionnaire, its intended use and any requirements set by the instrument owner or research team. We agree the appropriate translation and review steps before starting.
- Can we commission only part of the service?
- Yes. You can request questionnaire translation, linguistic validation, online language checks or translation of written responses as a separate assignment.
